A practical checklist for Indian gym owners choosing software: fees and invoices, WhatsApp, attendance, member app, staff roles, pricing and data you can take with you.
Most independent gyms in India still run on a register, a WhatsApp group and the owner's memory. That works up to about a hundred members. After that, money starts slipping through the gaps: a plan expires and nobody notices, a payment is taken in cash and never written down, an enquiry is never called back.
Gym management software fixes those gaps, but only if you choose one that fits how an Indian gym actually runs. This guide walks through what matters, what doesn't, and the questions to ask before you pay for anything.
The single biggest reason to use software is to stop losing fees. Before you look at anything else, check that the software can:
If a tool can't tell you, in one screen, who owes you money today, it is not doing its main job.
If you are registered for GST, your invoices need your legal name, GSTIN, a running invoice number and the tax amount. Even if you are not registered yet, a clean numbered invoice builds trust with members and saves you a painful year-end. Look for one invoice sequence per gym, with no gaps and no deleted payments. A payment that was entered by mistake should be voided with a reason, not erased.
Email open rates in Indian gyms are close to zero. WhatsApp is where renewal reminders actually get read. Good software prepares the message for you (name, plan, amount due, last date) and opens WhatsApp with one tap. You don't need an expensive WhatsApp Business API on day one; one-tap messages from your own number are often more personal and get better replies.
Paper registers are easy to fill in later. Biometric machines are accurate but cost money and need maintenance. A newer option is phone attendance: members mark themselves present from their own phone, and the app checks that the phone is actually at the gym using its location. Whatever you choose, attendance should feed into the rest of the system, so you can see who has stopped coming before they quit.
Members want to see their plan, days left, dues and invoices without calling the desk. A member app also gives you a direct line to them for notices and offers. Check whether the app carries your gym's name and logo when installed on a phone, or the software company's brand. Your members should feel they are using your gym's app.
Walk-ins and phone enquiries are your future members. The software should capture name, phone and interest, remind staff to follow up, and convert the enquiry into a member in one step once they pay. A QR poster at the entrance that collects enquiries automatically is a big time saver for a busy front desk.
Your receptionist needs to take payments. Your trainers need to see their own members. Neither needs to see your total revenue. Check that each staff member gets their own login and that access can be limited by role. Shared passwords are how money goes missing.
Many owners run the gym from their phone. The dashboard should work properly on a small screen, not just shrink a desktop page. Avoid tools that need a dedicated computer, special printer or card reader just to get started.
Ask one question before you sign up: can I export all my members, payments and attendance to Excel or CSV whenever I want? If the answer is vague, walk away. Also ask how you can import your existing member list, so you don't have to type a few hundred names by hand.
Simple pricing based on the number of members is easiest to plan for. Watch out for setup fees, per-SMS charges and "premium" features that you will need anyway. A free trial of at least two weeks lets you test the software with real members before you commit.
Kettlehive was built for exactly this list: fees and numbered invoices, one-tap WhatsApp reminders, QR enquiries, phone attendance that checks the gym's location, staff roles, and a member app that installs with your gym's name and logo. You can try it free for 15 days with your own members, and export everything to CSV at any time.
